DDSB Retrieval of Items from Schools

This email was forwarded to Administrators yesterday and we understand
that some Administrators have already begun to implement some of the
components of the plan.  You may have heard from some of your members
about this as their Administrators begin this rollout.    The
attachments were shared with HR as a final document this morning and we
are providing to you for information.

Dear Secondary School Administrators,

As indicated in your FOS meetings last week, we have been working on
developing a plan for both the retrieval of student items at schools and
how school staff can access school sites over the month of June. Both
plans have been approved by the Durham Region Health Department and were
created in consultation a working group comprised of Facilities
Services, Health and Safety, Communications, along with representation
from both Elementary and Secondary Principals.

We have attached the following documents to this e-mail for you to
review and action with further explanations below:

* A Facilities Services staff member will e-mail you separately a site
plan for your school to indicate the different entrances for zones.

PROTOCOL FOR RETRIEVAL OF PERSONAL BELONGINGS (PDF)

This document outlines the steps that you will need to take as school
administrators to organize and facilitate the safe and efficient
retrieval of personal belongings by parents/guardians/students between
June 3 and 26.

As part of this plan, school staff who are volunteering and choose to
wear a mask may bring their own. If school staff do not have their own,
we will have masks available on site. Custodian supervisors will be
delivering masks and sanitizer to each school by June 3rd.

MESSAGE TO FAMILIES FOR THE RETRIEVAL OF STUDENT BELONGINGS (WORD
DOCUMENT)

This template message (that you will need to edit in the indicated
sections) should be sent to families once your school plan has been
finalized and Parent / Teacher Interviews Software is configured with
the dates and times that you decide to have 15-minute timeslots for
parents/guardians/students to retrieve items. Please ensure to attach
the _Guidelines and Instructions for Parent/Guardian/Student Access_ and
the site plan with zone entrances indicated.

GUIDELINES AND INSTRUCTIONS FOR PARENT/GUARDIAN/STUDENT ACCESS (PDF)

This PDF must be attached to your message to families and provides
additional information for parents/guardians/students to access schools.

EDUCATOR ACCESS TO SCHOOLS (PDF)

Please share this with your staff to inform and provide them of the
opportunity to access school sites between June 1 and 26. This is to
allow them to perform year-end classroom clean-up activities, to prepare
for any classroom moves or to perform specific distance learning
functions.

We hope that you as school administrators find these plans helpful in
order to perform these tasks over the course of the month of June. We
truly appreciate your flexibility and ability to ensure the continuation
of Distance Learning and wind-down of the school year.
